Future Planning

A Quality Workshop from SEDA

Workshop Objective

For the VCS organisation:

By the end of the workshop, the attendee will be equipped to demonstrate the need for future planning and facilitate and enable future planning for a VCS organisation through a structured discussion and decision-making process.

For other organisations:

At the end of the workshop the attendee will be equipped to help and support VCS organisations as they plan for the future.

Workshop Summary

VCS organisations are constantly urged to plan for a future where grant funding harder to find. There is, however, confusion in many VCS organisations and few have the luxury of the time and resources required to conduct planning and maintain day to day operations.

This workshop offers a new perspective on the changing VCS environment and shows clearly how a simple planning process can secure funding, build confidence and strengthen sustainability.

A number of practical and simple tools are introduced during the interactive sessions.

Workshop Content

Introduction – Reviews the objectives and agenda and asks the attendees what they are looking to get from the workshop. It will also set the context of the workshop by summarising our findings from our various research studies and consulting work within the VCS.

The Political Landscape – A short review of some of the key policy and research agendas that are shaping the changes within the VCS and public sector. The exercise that follows asks if these changes represent threat or opportunity.

Preparing to Plan – Before looking at the planning process this short section highlights the need to get buy-in from key people, including the management board.

Where Have We Been? – A structured look back at the history that has shaped the organisation. Key topics/exercises are the Time Line, the Asset Check, Relationship Map and Organisation CV. Completing this process will:

-          Bring the organisation together as a team.

-          Build confidence and pride throughout the organisation.

-          Provide a detailed list of what the organisation has and what it can do.

-          Build a solid description of the organisation’s track record.

-          Provide a list of “who we know” and what these people can do to help.

What Do We Want to Be & Do? – This process results in the organisation having a clear view of where it wants to be in the future in terms of its services, service users and who will pay. This session is built around the “Service Circle”. This simple model examines the services we want to deliver, to whom, the results we will achieve, who will pay and, ultimately, what do we need to be and have to make it happen. Completing this process will:

-          Create an agreed view of the future services and service users.

-          Identify the difference the services will make.

-          Identify the people and agencies that could be interested in paying for the services.

How Do We Move Forward? – The “Where” and “What” sessions describe two versions of the organisation; where it is now and where it would like to be. The “How” focuses on spotting the key differences and taking the actions required to fill the gaps. Completing this process will:

-          Highlight the gaps in the skills, knowledge, resources and relationships that need to be filled.

-          Create a prioritised action plan to fill these gaps.

-          Equip the organisation to start the process of selling the future vision to the people who might pay.

Key Messages & Action Planning – Attendees are asked to list the key messages, ideas or tools they have taken from the day. They are also asked to list at least three things they will do as a result of attending the workshop. In completing this process

-          Attendees reflect on the day and note the most relevant messages.

-          Attendees create a clear plan to turn the learning into positive action for their organisation.

Workshop Methods

The workshop is based around information provision, understanding and rehearsal. Information is presented in short interactive sessions with discussion and questions actively encouraged. Simple but challenging exercises are used to get attendees using the information to check understanding and to provide a “safe” practice environment.
